Bill of Lading Instruction

Bill of Lading (B/L) instructions must be submitted to the relevant Regional Export Departments before the B/L cut-off date of the scheduled vessel. Cargoes for which B/L instructions are not received by the cut-off will be planned for loading on the next available vessel.

The following information must be included in the Bill of Lading instruction:

  • Shipper Company
  • Consignee
  • Notify Party
  • Port of Loading
  • Port of Discharge
  • Final Destination
  • Vessel Name and Voyage
  • Container Type and Quantity
  • Commodity Description
  • Number and Type of Packages
  • Weight (Cargo Gross Weight)
  • B/L Type and Number of Originals
  • HTS Code
  • Freight Payment Terms (Prepaid/Collect)
  • ICS-2 Information (for Europe shipments)
  • ACID Information (for Egypt shipments)

Customs Declaration

Copies of the customs declarations must be submitted to the relevant Regional Export Department before the declaration cut-off date of the scheduled vessel. The submitted declarations must be unblocked and in “ready for export” status. Cargoes without an unblocked, ready-for-export customs declaration by the cut-off will be planned for loading on the next available vessel.

VGM

VGM information must be submitted before the cut-off time. Containers without VGM will not be loaded on the vessel. VGM details must be entered via My Turkon Line. Click here for the VGM entry screen. In case of any issues with the VGM entry, please contact the relevant Regional Export Department.

ICS-2

ICS-2 is applicable in the EU member states (27 countries) as well as Switzerland, Norway, and Northern Ireland.
ICS-2 notification must be submitted to EU Customs at least 24 hours before vessel departure and provided to the relevant Regional Export Department within the B/L instructions before the cut-off date.

The following details must be carefully included in the ICS-2 entry:

  • At least 6-digit HTS Code
  • Full description of goods
  • Consignee EORI number
  • Notify Party EORI number
  • Shipper and Consignee details
  • Actual Shipper and Consignee details
  • Quantity and weight information
  • Master B/L details
  • House B/L details

Bill of Lading

The preparation of an Original Bill of Lading must be indicated within the B/L instruction along with the required number of originals. Original Bills of Lading are delivered against a delivery form to the authorized person notified by the shipper.

For issuance of a Seawaybill, the shipper must specify “SEAWAYBILL” in the B/L instruction or provide written confirmation.

For Telex Release, the shipper must provide written instructions by email, and the endorsed original B/L must be physically submitted to the Export Department of the loading agency.

For Receipt B/L, the B/L instruction must be submitted, and the container must enter the port area in a full status.

Container Delivery

For container delivery and release details, please contact the relevant regional Import departments.

Requirements for Container Delivery / Release:

  • If an Original Bill of Lading has been issued, it must be endorsed by the consignee stated on the B/L.
  • If the consignee is indicated as “To Order,” the B/L must be endorsed by both the shipper and the consignee.
  • If the consignee is a bank, the B/L must be endorsed by both the bank and the consignee.
  • In order for the company handling the import procedures (forwarder/customs broker) to carry out the operations, a declaration regarding the transfer of rights issued by the consignee specified in the Bill of Lading (B/L) is required.

For the company (forwarder/customs broker) handling the import process to proceed, an assignment of rights declaration issued by the consignee mentioned on the Bill of Lading is required.

If an invoice has been issued, a payment confirmation along with the payment slip is required.

If an invoice has been issued, a payment receipt along with proof of collection is required.
